 Organisation -Jacqui’s Keepsake Creations, also known as JKC

 Scope of policy

Jacqui’s Keepsake Creations goods are sold via online marketplaces and our  own website. Please see the appropriate online marketplace policy to clarify their current privacy policy regarding customers personal data. JKC policy is set out below

This policy is in place to:-

  • follow good practice
  • protect customers
  • protect JKC

JKC is committed to:

  • comply with both the law and good practice
  • respect individuals’ rights
  • be open and honest with individuals whose data is held

Key risks

  • Any personal data (names, addresses, email addresses and phone numbers) given through online selling sites is controlled by the relevant organisation, however any personal data supplied to JKC in relation to orders placed or direct communication is used for the purposes of the order or query or to provide customer support. (and is shared only as shown in the next section)  It will be kept on file purely for the purposes of contacting the customer regarding the current order and will not be used to contact the customer at a later stage UNLESS this has already been agreed with the said customer or the customer has signed up to the JKC mailing list
  • Payment information will only be stored with Paypal or other payment options and not stored directly with JKC
  • Personal data supplied during the ordering process will be kept on file for a period of 6 years from order date to comply with HMRC requirements

Information Sharing

Information about my customers is important to JKC, I share your information for very limited reasons and in limited circumstances as follows:

  • I share information with Ebay, Etsy, and Paypal as necessary to provide you my services and comply with my obligations under both their individual seller policy and terms of use
  • Service providers – I engage certain trusted third parties to perform functions and provide services such as delivery companies, such information will only be supplied to the extent necessary to perform these services.
  • If I sell my business I may disclose your information as part of the transaction, but only to the extent permitted by law.

Compliance with laws – I may collect, use, share or retain your information if I believe that it is reasonably necessary to a) respond to legal process or to governments requests b) enforce my agreements, terms and policies c) prevent, investigate and address fraud and other illegal activity, security or technical issues or d) protect the rights, property and safety of my customers or others

Data recording and storage

Storage

Customer data will be stored on paper for HMRC purposes in relation to JKC and also to resolve disputes

Retention Periods

Data will be stored for 6 years from first contact to comply with record keeping regulations

Archiving

Data will be securely and safely destroyed after 6 years

Responsibility

Any rights of access request will be handled by JKC owner, therefore must be sent in writing to Jackie Robinson with the recommended 28 days either by email at jaxkc@talktalk.net or in writing to 36 Ludlow Avenue Crewe CW1 6DY

Provision for verifying identity

Where JKC does not know the individual personally we will ensure provision for checking their identity before handing over any information

Charging

JKC will provide any requested information free of charge. However we will charge a ‘reasonable fee’ when a request is manifestly unfounded or excessive, particularly if it is repetitive.

Procedure for granting access

If the request is made electronically, JKC will provide the information in an electronic format.
